Exporting and sharing
Download a document as a PDF, share a read-only link with reviewers, control whether they can annotate, and export your account data.
Updated
Export a PDF
Press Export PDF in the top bar to download the current version. Every version can be exported; to export an older one, restore it first from the Versions tab.
On the free plan, exported PDFs carry a watermark on each page. Paid plans export without a watermark. The content and layout are the same either way.
Share a link
To let someone read the document without joining your space, press Share in the top bar:
- Choose whether signed-in users can annotate. Without it the link is read-only.
- Choose when it expires: after 7 days, after 30 days, or never.
- Press Create link and copy it. The link is shown only once, so copy it right away.
People with the link see the current version, the checklist and the annotations, and can export the PDF. They don’t see the chat, the versions or the attachments. Visitors who aren’t signed in can only view; signed-in visitors can annotate if you allowed it, as if they were commenters on this document.
The Share dialog lists existing links with who created them and when they expire. Press Revoke to turn a link off immediately.
Owners, admins and members can create share links.
Work together in a team space
A share link suits one-off reviews. For ongoing work, create a team space and invite people by email with a role:
| Role | Can do |
|---|---|
| Owner, Admin | Everything, including members and billing |
| Member | Create documents, ask the agent, edit text, annotate |
| Commenter | View and annotate |
| Viewer | View |
Only one person at a time can ask the agent or edit text in a document. Others see who is editing and can still view and annotate; editing is handed over automatically after 10 minutes of inactivity, or with Hand over editing.
Export your data
Under Account settings, Export my data downloads a zip with the attachments, conversations and annotations of every document in your personal space, plus your account details. Export each document itself as a PDF from the document.
Deleted documents
Deleting a document moves it to the Trash, where it stays for 30 days and can be restored. After that it is deleted for good; you can also delete it for good right away from the trash.
